Job Title: Senior Administrative Assistant

Overview: The Minnesota Community Health Worker Alliance is a statewide health equity organization. The mission of the Alliance is optimal health outcomes for all and we achieve this mission by promoting Community Health Worker strategies.

The Minnesota Community Health Worker Alliance is a is seeking a full-time Senior Administrative Assistant. The Senior Administrative Assistant plays a crucial role in supporting the Executive Director and ensuring the smooth operation of the organization. This position requires a detail-oriented individual with excellent organizational, communication, and change management skills, as well as the ability to handle multiple tasks efficiently. The person performing in this position must have a natural affinity for cultivating relationships, a high level of integrity, credibility, and sound judgement, and have a passion for health equity.

Responsibilities:

1. Administrative Support:

• Provide comprehensive administrative support to the Executive Director, including managing calendars, scheduling meetings, and handling correspondence.

• Assist in the preparation of documents, reports, and presentations as needed.

• Maintain organized filing systems, both electronic and physical, ensuring easy retrieval of information.

2. Board and Stakeholder Communication:

• Coordinate communications with the board of directors, stakeholders, and external partners.

• Prepare meeting agendas, materials, and minutes for board meetings and other key meetings as required.

• Serve as a point of contact for inquiries and requests from stakeholders, ensuring timely and professional responses.

• Provide fundraising support to the Executive Director and Board including the identification, tracking, and stewardship of donations.

3. Team Support and Coordination:

• Assist in recruiting, onboarding, and coordinating with staff, volunteers, and contractors.

• Coordinate team meetings, trainings, and other internal events as needed.

• Foster a positive and collaborative work environment by promoting effective communication and teamwork.

4. Financial and Contract Management:

• Assist in managing financial records, processing invoices, expense reports, and reimbursements.

• Ensure contracts, agreements, and other legal documents are properly handled, executed, and maintained.

• Support budget reviews, finance meetings, and other financial activities under the guidance of the Executive Director.

• 5. Technology and Website Maintenance:

• Assist in maintaining and updating the organization’s technology systems and website content.

• Coordinate with external vendors or consultants for technical support and troubleshooting.

• Ensure proper utilization and maintenance of organizational technology resources.

6. Project Management Support:

• Provide project management support as assigned by the Executive Director which may include task tracking and follow-up, communication management, and quality assurance.

Qualifications:

• Bachelor’s degree preferred, with a minimum of 4 years of experience in an administrative support role. In lieu of education, at least 6 years of successful professional experience performing administrative support tasks and responsibilities.

• Strong organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines effectively.

• Excellent written and verbal communication skills, knowledge of conflict resolution techniques, and ability to interact professionally with internal and external stakeholders.

• Proficiency in Microsoft Office 365 and other relevant software applications.

• Ability to work independently with minimal supervision, as well as collaboratively as part of a team.

• Knowledge of marketing or communications is a plus.
